Key Responsibilities

  • •Own and protect the assigned executive’s complex calendar, balancing leadership, Board, committee, transaction, portfolio, and stakeholder commitments across time zones.
  • •Coordinate governance and executive meetings, including agendas, papers, approvals, logistics, and follow-up on decisions and action items until closure.
  • •Prepare executive briefing packs and background materials to ensure engagements are decision-ready, escalating missing information or readiness risks early.
  • •Plan complex domestic and international travel and coordinate protocol, contingencies, and reconciliation of travel records and expenses.
  • •Draft, format, proofread, and control executive correspondence and documents with secure filing, version control, and review/approval routing.

Key Requirements

  • •Minimum 3 years of executive assistance, personal assistance, or senior administrative experience, including at least 2 years in relevant executive/personal assistance.
  • •Ability to manage demanding executive calendars and high-stakes meetings across time zones, including international travel and confidential information.
  • •Experience supporting a C-suite executive, Board member, or senior leader in private equity, investment, financial services, professional services, or other international corporate environments (preferred).
  • •Excellent written and spoken English, advanced Microsoft 365 capability, and strong drafting, proofreading, presentation, records management, and virtual-meeting skills.
  • •Strong confidentiality and secure records management practices, with sound judgment and discretion when handling sensitive information.
