Key Responsibilities

  • •Help answer phones and assist service customers with vehicle repair and maintenance needs, including cost estimates and timelines.
  • •Create and update repair estimates, and communicate with customers via email, fax, or phone to provide updates and obtain approvals.
  • •Review repair orders for accuracy and completeness, ensuring symptoms, problems, causes, and performed services are captured in the service database.
  • •Manage the repair transactions lifecycle from origination until the customer unit is in the custody of the repair technician, including dispatching and assigning shop work to technicians.
  • •Maintain accurate internal and external documentation and foster relationships with customers, vendors, and partners while enforcing safety and service standards.

Key Requirements

  • •High School Diploma/GED with 3 years’ experience in a related field (or an equivalent combination such as a higher-level degree/certification or 5 years’ experience).
  • •Strong verbal and written communication plus listening skills to interact with customers, employees, and vendors.
  • •Familiarity with Karmak, ADP, Reynold, RO Writer or similar programs.
  • •Strong Windows Office skills and ability to learn new platforms, including DFS IT systems (e.g., Web Wrench, MobileFrame, RO Writer).
  • •General understanding of DOT and federal, state, and local regulations affecting vehicle maintenance operations.
