Key Responsibilities

•Own end-to-end logistics for Tier 1 owned events, including rooming, venues/vendors, food and beverage, decor, transportation, and onsite flow.
•Manage venue and vendor sourcing relationships by running RFPs, reviewing contracts, and routing them through Legal and Finance.
•Build and maintain the event production schedule; conduct hotel site visits and run weekly check-ins with hotel and DMC.
•Coordinate all onsite experience details including swag/gifting, badges, signage, entertainment, photography, dining, spa, and attendee/VIP transportation.
•Serve as an onsite operational presence, manage execution and real-time troubleshooting, and handle budgets, invoices, reimbursements, and post-event wrap-up.

Key Requirements

•3+ years of experience in event operations, logistics, hospitality, or related coordination roles, ideally supporting large multi-day or corporate events.
•Exceptional organization and attention to detail to manage multiple moving parts and keep complex logistics on schedule.
•A proactive, execution-oriented work style with strong prioritization and quality, including flagging issues early.
•Strong vendor and stakeholder coordination skills, including clearly articulating needs and escalating until resolved.
•Comfort with event and project tools (Swoogo, Asana, Google Workspace, Slack or similar) and budget/contract/invoice processing.
