Key Responsibilities

  • •Provide budgeting and administrative support to the director and regional field operations, emphasizing accounts payable and budget vs. actual expenditure oversight.
  • •Incorporate the Lawson system into the regional accounts payable process and ensure adherence to invoice processing, data entry, purchasing, and procurement card procedures.
  • •Initiate and manage major maintenance and capital job numbers as needed, and support budgeting, cost projections, bid processing, and budget control/reporting.
  • •Prepare and review cost tracking reports extracted from the general ledger or other accounting reports monthly and upon request; review cash flow.
  • •Research and reconcile invoices and charges, recommend corrections to general ledger/capital work in progress (CWIP) entries, resolve vendor discrepancies, and coordinate regional financial forecasting.
  • •Coordinate purchasing/pricing practices, vendor creation, employee expense submissions, and maintaining/balancing the regional working fund.
  • •Support regional fleet maintenance purchasing/disposal/transfers and monthly reporting, plus assist with tracking training requirements and maintaining mobile communications payments/monitoring data access.
  • •Coordinate staff additions, transfers, office moves, and related events/meetings/training, and provide basic in-house Lawson/PAWS support and training as assigned.
  • •Act as liaison with internal teams for maintenance of equipment/payments and perform other assigned duties.

Key Requirements

  • •3 to 5 years of general clerical experience with strong knowledge of general office procedures, including record maintenance, budgeting, and administrative practices.
  • •Excellent PC skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Microsoft Outlook.
  • •Proficiency in computer applications to research, analyze, and process accounting and reporting information.
  • •Good oral and written communication skills and the ability to work independently while taking direction.
  • •Detail-oriented with the ability to resolve issues, maintain confidentiality, and meet time-sensitive deadlines under pressure.
