Key Responsibilities

  • •Serve as a professional, approachable face of the organization and provide excellent customer service to visitors.
  • •Maintain a scheduler and manage day-to-day appointment planning for the direct supervisor, ensuring critical meetings are not missed.
  • •Process guest admissions without appointments and maintain logs of visitors and appointments for daily reference.
  • •Distribute, record, screen, and file correspondences, calls, and queries with accurate traceability, and ensure timely dissemination of documents and mail to the department.
  • •Support HSE initiatives by participating in safety awareness activities and contributing to incident reporting and resolution in line with company and IMS policies.

Key Requirements

  • •Knowledge in office administration and providing excellent customer service to visitors.
  • •Experience with scheduling and maintaining visitor and appointment logs for the direct supervisor.
  • •Ability to confidentially distribute, record, and file correspondences, calls, and queries for traceability.
  • •Excellent working knowledge of English (oral and written) and strong computer skills in office tools (MS Excel, Word).
  • •Minimum 5 years working experience, including 3 years relevant experience; ERP knowledge with SAP functional skills is preferred/required.
