Key Responsibilities

  • •Support the Director of Sales, Director of Sales & Marketing and the Sales Managers in their day to day activities and to assist them in achieving their personal and team objectives.
  • •Determine and implement the procedures and standards of an effective filing system.
  • •Provide adequate supplies of stationary and ensures that the following forms are used and kept updated at all times: Time sheets; Purchase orders; Travel authorizations for business trips; Collateral reprint orders; Brochure supplies (office); Holiday and sick leave; Expense forms.
  • •Maintain and update inventory: control of all gifts and giveaways.
  • •Compile monthly reports and statistics; assist in organizing direct mail campaigns; ensure liaison between the sales office and sister hotels; annual contracting administration; and other duties as assigned.

Key Requirements

  • •Strong office administration and sales support experience, with ability to assist the Director of Sales and Sales Managers in day-to-day activities.
  • •Experience implementing efficient filing systems and maintaining up-to-date records and forms (time sheets, purchase orders, travel authorizations, etc.).
  • •Proficiency in managing office supplies, inventory of gifts and giveaways, and maintaining a department operating manual with policies and procedures.
  • •Ability to compile monthly reports and statistics by deadlines, and assist with direct mail campaigns and liaison with other hotels as needed.
  • •Excellent communication and organizational skills with a high standard of professionalism and confidentiality.
