Key Responsibilities

  • •Own the purchasing path for R&D, managing high volumes of purchase requests, work orders, and change orders with speed and accuracy.
  • •Act as the primary procurement partner from initial request to signed agreement and issued purchase order, ensuring correct vendor records, commercial documents, spend categorization, dates, and approvals.
  • •Route each request to the right reviewers (including statements of work, order forms, amendments, security/privacy review, and third-party risk assessment) and launch/track contract review with Legal.
  • •Structure purchase orders to match vendor billing models and Accounting needs (GL account, cost center, service period), and manage renewals, closures, and change orders over each agreement’s life.
  • •Ensure financial completeness for month-end by coding correctly at creation, reconciling open POs and receipts, handling accrual estimates with Accounting, and partnering with Accounts Payable to resolve invoice holds and mismatches.

Key Requirements

  • •Own a high-volume purchasing portfolio end-to-end across procure-to-pay and intake platforms.
  • •Demonstrate solid accrual accounting knowledge (prepaid vs expense, service period and cutoff, GL/cost center coding) and explain how POs become entries in the general ledger.
  • •Support outsourced or managed service vendors at scale, keeping contracts, purchase orders, and invoices aligned as scope and volume change month to month.
  • •Understand how contract review, security/privacy review, and financial controls fit together in a purchase, with judgment to route or slow down requests appropriately.
  • •Preferred: 5–7+ years in procurement operations/purchasing/vendor operations, including experience supporting research/engineering/hardware/outsourced services and month-end close or open PO reconciliation.
