Key Responsibilities

  • •Help answer phones and assist service customers with vehicle repair and maintenance needs, including cost estimates and timelines.
  • •Create repair estimates, communicate updates via email/fax/phone, obtain approvals, and retrieve purchase order numbers and billing items.
  • •Review repair orders for accuracy and completeness, ensuring symptoms/problems/causes and repairs/services are properly captured in the service database.
  • •Manage the transaction lifecycle from origination through vehicle release to the repair technician, including dispatching and assigning shop work.
  • •Document repairs accurately in internal/external systems and collaborate with technicians, sales staff, customers, and vendors to ensure quality and compliance.

Key Requirements

  • •High school diploma/GED with 3 years’ experience in a related field (or an equivalent combination such as degree/certification or 5 years’ experience).
  • •Strong verbal and written communication skills, including active listening to interact with customers, employees, and vendors.
  • •Familiarity with Karmak, ADP, Reynold, RO Writer, or similar programs.
  • •Strong computer skills and proficiency with Windows office tools, plus ability to learn new platforms (e.g., DFS IT Systems, Web Wrench, MobileFrame, RO Writer).
  • •General understanding of DOT and federal, state, and local regulations affecting vehicle maintenance operations.
