Key Responsibilities

  • •Perform responsible and confidential administrative and secretarial duties for the Business Unit Medical Director.
  • •Prepare correspondence and manage executive scheduling, including interviewing callers and arranging appointments and meetings.
  • •Study and compare reports, then bring significant items, changes, errors, or omissions to the Medical Director’s attention.
  • •Maintain office files and records, take and transcribe dictation, and manage telephone inquiries by referring to appropriate staff when needed.
  • •Support departmental budget preparation, purchasing (vendors, requisitions, invoices), reporting, petty cash records, and departmental personnel file maintenance.

Key Requirements

  • •Diploma in secretarial studies or equivalent, including a 2-year program with word processing and personal computer training.
  • •5+ years of responsible secretarial experience (or an acceptable equivalent combination).
  • •Good knowledge of hospital operations, specifically the assigned department.
  • •Ability to type error-free at approximately 70 wpm and to transcribe/take meeting notes.
  • •Basic knowledge of medical terminology and strong communication skills (including English).
