Key Responsibilities

  • •Manage office correspondence, routing, drafting replies, tracking deadlines, and ensuring documents conform to WHO standards.
  • •Maintain office calendars and electronic filing systems; provide guidance on office procedures and WHO standards.
  • •Support monitoring of work plan implementation and donor reporting, including budget ceiling/award budgets and income/expenditure tracking.
  • •Provide administrative support for evaluations (e.g., proposals, technical working group, RFP facilitation, data compilation) and for contract/terms management for service providers.
  • •Coordinate meeting and duty travel administration (documents, briefings, reservations, travel files), and schedule unit/staff meetings and minutes.

Key Requirements

  • •High school diploma and training in Administration and Office Automation.
  • •At least 8 years of experience in a recognized public or private institution.
  • •In-depth knowledge of modern office procedures and practices, with ability to stay current with rules and regulations.
  • •Expert knowledge of Portuguese; intermediate English and French are desirable.
  • •Experience in administrative management of offices and providing administrative support in WHO/UN or using Oracle-based systems/ERP-like systems is an asset.
