Job Summary

Taipei-based Office Manager for Insider Taiwan, responsible for office and culture operations, APAC talent support, governance and reporting, and admin-finance tasks. You’ll lead space management, onboarding, invoicing, and cross-functional coordination, acting as the backbone for Insider Greater China with a proactive, people-first approach in a fast-growing SaaS environment.

Job Function: Administration & Executive Assistance

Key Responsibilities

•Office & Culture Operations: oversee space layout, stationery/equipment orders, courier services, snacks and Friday Happy Hour coordination to keep the team energized and connected.
•Talent Growth & APAC Support: assist People & Culture with APAC talent acquisition, scheduling interviews, onboarding newcomers, and maintaining candidate pipelines; organize team activities and quarterly events.
•Governance, Data & Reporting: update new hire status, maintain local government compliance documents, and manage OKR reports to track office efficiency.
•Leadership Support & Admin: provide leadership support to Directors with research and special projects; assist with administrative tasks and governance activities.
•Finance, Legal & Admin: prepare client/internal invoices, follow-ups, manage contracts and translations with Tax/Legal; handle travel bookings and logistics.

Key Requirements

•Fluent or strong working proficiency in English with comfortable daily coordination and meetings with international colleagues.
•Experience in office/administrative operations, facilities, and supplies management.
•Ability to support APAC region talent acquisition and onboarding processes (schedules, pipelines, welcome procedures).
•Excellent organizational and multitasking skills with proactive problem-solving and resilience under pressure.
•Strong communication, empathy, and teamwork mindset; ability to partner with HR and leadership on governance and reporting tasks.
