Job Function: Administration & Executive Assistance

Key Responsibilities

  • •Maintain accurate, complete, and up-to-date trust and entity records for reliable governance and easy retrieval.
  • •Prepare routine administration documents (e.g., resolutions, minutes, letters) and coordinate reviews and sign-off within authority levels.
  • •Coordinate payment of trust/structure expenses, ensuring appropriate costs, correct coding/allocation, and proper evidence.
  • •Handle day-to-day communications with clients and beneficiaries and manage queries by resolving or escalating quickly.
  • •Update due diligence and ongoing monitoring, identify gaps or red flags for escalation, and support periodic reviews and audits.

Key Requirements

  • •An interest in trust administration and willingness to learn trust documents and legal and tax processes.
  • •Basic/intermediate experience with Microsoft Office tools, e.g., Excel and Outlook.
  • •Ability to organise and prioritise multiple tasks and deadlines while keeping stakeholders informed.
  • •Ability to build trust with clients and advisers and handle sensitive conversations professionally.
