Key Responsibilities

  • •Provide end-to-end executive assistant support to two Managing Directors, enabling effective time, priority, and stakeholder management.
  • •Manage complex diary scheduling across time zones and proactively resolve conflicts to position leaders for key meetings.
  • •Support high-volume email inbox management, including screening, prioritising, and drafting responses where appropriate.
  • •Coordinate internal and external meetings and leadership activities, ensuring logistics, scheduling, and stakeholder participation.
  • •Arrange complex travel and accommodation, and produce accurate expense claims and related administration using HSBC systems.

Key Requirements

  • •Proven experience providing executive support to senior leaders, including complex diary, meeting, and travel coordination.
  • •Proven track record supporting senior management in a fast-paced, high-profile environment, ideally in a large, matrix organization.
  • •Highly organised with strong attention to detail, proactively anticipating issues and resolving day-to-day diary/logistics conflicts.
  • •Strong written and verbal communication skills, with the ability to manage escalations and represent senior leaders professionally.
  • •Strong judgement and discretion, demonstrating tact and diplomacy while maintaining confidentiality for sensitive or highly restricted matters.
