Key Responsibilities

  • •Support the Representative’s office secretariat day to day, including maintaining physical and electronic filing systems and preparing administrative materials for meetings and official visits.
  • •Manage correspondence by producing tracking dashboards for correspondence, meetings, and decisions, and ensure timely follow-up on required actions.
  • •Conduct document quality control before official reception or transmission for review/signature, verifying compliance with WHO presentation, content, references, validation, and approval workflow standards.
  • •Support agenda and meetings management in coordination with the Executive Officer, including maintaining a consolidated calendar of key Country Office activities.
  • •Provide logistics and protocol administrative support for official visits, high-level missions, and ceremonies; coordinate with security, transport, and protocol services, and draft administrative correspondence in French and English when required.

Key Requirements

  • •Hold a state diploma with specialization in public administration, business management, administrative management, international relations, social sciences, or a related field.
  • •At least 5 years of progressive experience in office administration, executive assistance, administrative coordination, or records/document management.
  • •Proven experience managing executive correspondence, meetings, and calendars.
  • •Experience archiving, filing, and managing administrative documents.
  • •Strong skills in document quality control and solid knowledge of records management and archiving principles.
