Job Summary

Key Responsibilities

  • •Develop an inception note and initial workplan within the first month of the assignment.
  • •Maintain a rolling workplan, action tracker, contact list, issue/risk log, and pending decision list; produce monthly activity reports.
  • •Support coordination meetings by preparing agendas, notes, and action points and maintaining consolidated coordination trackers for stakeholders, participants, speakers, and logistics.
  • •Provide periodic readiness updates and, during the Summit, produce on-site coordination notes and issue logs.
  • •Deliver a final handover package and a brief operational lessons note after the Summit.

Key Requirements

  • •University degree in a relevant field such as public health, international relations, event management, project management, social sciences, health systems, mental health, development studies, business administration, or similar.
  • •At least 5 years of relevant experience in project coordination, conference organization, public health programme support, government liaison, international event coordination, or related work.
  • •Experience developing workplans, trackers, meeting notes, reports, logistics checklists, and operational tools for events or programmes.
  • •Experience working with national government institutions in Rwanda, and coordinating multi-stakeholder processes involving government, UN agencies, international partners, experts, or civil society.
  • •Excellent written and spoken English and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and online collaboration tools; working knowledge of French and Kinyarwanda is desirable/advantageous.
