Key Responsibilities

  • •Operate a multi-line phone system to direct incoming, outgoing, and internal calls and voicemail according to firm policies.
  • •Greet clients and visitors, manage access clearance/routing, and notify the supervisor of problematic situations.
  • •Escort guests to destinations and manage guest requests by coordinating with appropriate service providers or connecting guests to the right party.
  • •Perform daily checks and documentation for kitchen, conference rooms, and office supplies to ensure items are stocked and in working order.
  • •Schedule conference room use and support setups, including beverage/meal service, seating arrangements, and AV needs.

Key Requirements

  • •Ability to read and write at a level generally acquired through completion of high school to process informational messages.
  • •Approximately six months to one year of on-the-job experience in a professional services office to understand policies and procedures and operate the telephone console system.
  • •Ability to convert memos, letters, and forms from rough drafts to final, typed-quality documents at a level generally acquired through completion of one to three months of coursework in typing.
  • •Interpersonal skills to communicate by telephone and in person with visitors, attorneys, and staff with ordinary courtesy and tact.
  • •Ability to handle telephone calls and visitors, small delivery packages, and operate telephone equipment and recorded messages.
