Key Responsibilities

  • •Answer phones and assist service customers with vehicle repair and maintenance needs, including providing cost estimates and timelines.
  • •Create estimates, communicate updates by email/fax/phone, obtain approvals for repair estimates, and retrieve purchase order numbers and billing items.
  • •Review repair orders for accuracy and ensure symptoms, problems, causes, and technician-submitted repairs/services are properly captured in the service database.
  • •Manage the repair transaction lifecycle from origination through customer unit custody of the repair technician, including obtaining customer approvals for all repairs and services.
  • •Dispatch and assign shop work to technicians; coordinate with technicians, sales staff, and customers; and ensure timely, accurate documentation in internal and external systems.

Key Requirements

  • •High School Diploma/GED and 3 years’ experience in a related field (or an equivalent combination such as a degree/certification or 5 years’ related experience).
  • •Strong verbal and written communication and active listening to interact with customers, employees, and vendors.
  • •Familiarity with Karmak, ADP, Reynold, RO Writer, or similar programs.
  • •Strong computer and Windows office suite skills, with ability to learn systems including DFS IT Systems (Web Wrench, MobileFrame, RO Writer).
  • •General understanding of DOT and federal, state, and local regulations affecting vehicle maintenance operations.
