Key Responsibilities

  • •Independently manage complex executive calendars, including multi-time-zone bookings, time-blocking for focused work, and anticipating rescheduling needs.
  • •Review incoming emails, categorize and prioritize by urgency, flag follow-ups, and draft responses; manage shared and personal mailboxes and maintain inbox hygiene.
  • •Coordinate full travel arrangements (flights, ground transportation, hotels, travel insurance, and visa applications) and produce detailed itineraries while executives travel.
  • •Own the full lifecycle of executive meetings, including agenda coordination, invite distribution, materials preparation, notetaking, and action item follow-ups; support hybrid/virtual meetings via Teams Live.
  • •Prepare expense reports and submit/track purchase orders (e.g., in Coupa), coordinate vendor-related tasks, and generate spreadsheets, dashboards, reports, and presentations for executives and stakeholders.

Key Requirements

  • •Bachelor’s degree or at least 4 years’ experience in the same industry.
  • •Strong experience with MS 365, particularly Word, Excel, Outlook, and PowerPoint.
  • •Highly motivated and able to function in a fast-paced environment while managing multiple changing demands, details, and deadlines.
  • •Excellent interpersonal, organizational, and communication skills with strong attention to detail for accurate documentation and task completion.
  • •Experience drafting reports and correspondence; experience managing projects/budget tracking and working with a global team.
