Key Responsibilities

  • •Develop and implement installation plans for props and scenic elements; define a load-in schedule aligned with other onsite teams.
  • •Create and circulate props lists per site in line with inventory; manage props/scenic installation onsite as the main point of contact.
  • •Ensure installation quality and documentation (photos/videos), manage props storage of unused props and empty crates, and maintain a clean, safe working environment.
  • •Coordinate fabrication and installation activities so scenic elements are built accurately and efficiently; communicate build requirements and distribute installation guides/scene packs.
  • •Manage load-out by updating the scenic bible with best practices, implementing derig/inventory processes, and maintaining remediation/inventory tracking.

Key Requirements

  • •At least 8 years of experience coordinating and managing teams in creative or event industries.
  • •Ability to coordinate schedules, meet milestones, and develop contingency plans for large-scale projects.
  • •Proven ability to prepare planning documents and schedules and manage external vendors and technical teams.
  • •Background in prop fabrication, scenic design, stage management, immersive/site-specific events, or coordination of large-scale outdoor projects.
  • •Proficiency using Google Drive/Workspace (Sheets, Docs, Google Meet) and exceptional attention to detail; first aid and OSHA certifications are an asset.
