Key Responsibilities

  • •Coordinate end-to-end event and offsite logistics for small, medium, and large gatherings, including venue sourcing, contracts, catering, A/V, travel, shipping, and day-of schedules.
  • •Create and maintain planning artifacts (timelines, run-of-show, checklists, planning docs, registration) and keep stakeholders aligned on milestones and responsibilities.
  • •Manage vendor relationships, collect bids, negotiate within guardrails, evaluate new venues/vendors, and ensure accurate, timely processing of contracts, POs, and invoices.
  • •Serve as the first point of contact for attendee inquiries and manage travel/registration; draft and send communications (invites, RSVPs, reminders, FAQs) and produce post-event recaps.
  • •Provide on-site operational support by managing setup, signage, registration, and in-the-moment troubleshooting; collect feedback and metrics to improve templates and best practices.

Key Requirements

  • •3–5 years in events coordination, operations, or hospitality (corporate or agency experience preferred).
  • •Impeccable organization and attention to detail with comfort juggling multiple timelines and priorities.
  • •Operational rigor: bias for action and ability to stay calm under pressure while anticipating needs.
  • •Strong written and verbal communication, with customer-first, problem-solving mindset for attendee inquiries.
  • •Fluency with event/vendor/budget basics including quotes, contract routing, POs/invoices, and cost tracking.
