Job Summary

Coordinate and ensure compliance with Occupational Health & Safety (SSM) and Emergency Situations (PSI) requirements while managing day-to-day facilities operations for the Bucharest office. Act as primary health & safety contact, oversee documentation, audits, and vendor coordination to maintain a safe, well-functioning workspace and support a positive employee experience.

Job Function: Executive & General Management

Key Responsibilities

•Ensure the organization complies with legal/regulatory requirements regarding SSM and PSI; coordinate periodic risk assessments; propose prevention and protection measures; conduct new employee SSM & PSI inductions and maintain training records.
•Maintain and update documentation related to SSM & PSI (procedures, reports, registers); coordinate incident reporting, investigation, follow-up corrective actions; collaborate with external SSM/PSI providers, audits, inspections.
•Prepare and support internal and external audits/inspections; act as primary internal contact for health & safety topics; oversee day-to-day facility operations to keep the office safe, welcoming and efficient.
•Coordinate office services providers (reception, cleaning, security, maintenance, utilities, technical support); manage office supplies, equipment, access cards, seating and space planning; coordinate repairs, refurbishments, relocations and workspace improvements.
•Support procurement and vendor management activities related to facility services; manage corporate contracts for facility operations and ensure budget adherence.
