Key Responsibilities

  • •Perform responsible and confidential administrative and secretarial duties for the Business Unit Medical Director.
  • •Prepare letters and correspondence, study and summarize reports, and bring significant items, changes, errors, or omissions to the Director.
  • •Arrange and schedule appointments and meetings for Executive Directors, including handling calls and referrals.
  • •Maintain executive management manuals, directives, organizational charts, and office files; take and transcribe dictation and keep office records.
  • •Support departmental administration including budget preparation data, purchasing tasks (requisitions/invoices), petty cash records, logs/files, and personnel record maintenance.

Key Requirements

  • •Diploma in secretarial studies (or equivalent) plus a 2-year program with word processing and personal computer training.
  • •Desirable: University degree in Administration.
  • •Five (05) years of responsible secretarial experience (or acceptable equivalent).
  • •Good knowledge of hospital operations, specifically the assigned department.
  • •Typing error-free at ~70 wpm; skill in transcribing/taking meeting notes, and strong English writing/spelling with basic medical terminology knowledge.
