Key Responsibilities

  • •Support request intake and triage for workplace service needs by clarifying requirements, routing to owners, and tracking completion.
  • •Coordinate catering needs from planning through completion, including vendor follow-up, billing follow-up, and feedback gathering.
  • •Maintain team tools and documentation (shared files, SOPs, contact lists, vendor info, program trackers, recurring calendars, and status updates).
  • •Assist third-party service providers for workplace amenities (food services, pantries, fitness, banking, commuter programs, car wash services) and ensure issues are documented and followed up.
  • •Support invoice, purchase order, accrual, billing, and budget tracking processes by collecting details, routing approvals, and helping keep records organized.

Key Requirements

  • •BA/BS degree from an accredited college or university.
  • •2+ years’ experience in administrative support, office coordination, workplace services, facilities support, hospitality operations, or a similar operational/admin role.
  • •Experience managing calendars, schedules, trackers, meeting coordination, and documentation in administrative workflows.
  • •Proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and ability to learn internal tools and systems.
  • •Strong written and verbal communication, organization, follow-through, and customer service skills.
