Key Responsibilities

  • •Plan and proactively manage the President of LATAMC's calendar and priorities, ensuring time is aligned with strategic objectives and stakeholders; anticipate conflicts and recommend alternatives or priorities as needed
  • •Coordinate complex national and international travel end-to-end (itineraries, logistics, changes, contingencies), ensuring timely expense documentation
  • •Plan and execute logistics for internal and external meetings, as well as key business cycles (leadership team meetings, operational reviews, QBRs, town halls): agenda creation, pre-reads, minutes, and action follow-up
  • •Prepare and review executive communications and materials (briefs, emails, announcements, talking points, presentations) ensuring clarity, accuracy, and message coherence
  • •Serve as a key point of contact for the Office of the President, filtering and routing requests, maintaining stakeholder lists, and ensuring timely follow-up to resolution

Key Requirements

  • •5+ years of experience as an Executive Assistant or Senior Executive Assistant supporting VP-level leaders in dynamic, matrixed environments
  • •Demonstrated ability to coordinate complex calendars, multi-stakeholder meetings, and international travel across time zones
  • •Advanced proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel, Word) and the ability to prepare executive-level presentations and documents
  • •Experience supporting executive meetings and key business cycles (agenda creation, note-taking, action follow-up, compliance tracking)
  • •Fluent English and Spanish communication (oral and written) with excellent interpersonal skills in multinational, multicultural settings
